Description
Primary Purpose:
Provide support to Choice Partners regarding internal and external events, build relationships with vendors, venue reps and internal divisions to facilitate events. Work with Choice Partners to coordinate planning and execution of high-quality events/activities. Provide support for event logistics including theme, location scouting, budget, event timeline and help coordinate on day of event. Responsible for registering and ordering materials needed for both in-state and out-of-state conferences.
Qualifications:
Education/Certification:
- Bachelor’s Degree from an accredited university or multiple years in event coordination.
Special Knowledge/Skills:
- Highly organized and detail oriented with the ability to manage multiple projects under minimal supervision
- Excellent communication skills including written and oral interpersonal skills as well as presentation skills
- Strong analytical and problem-solving skills required
- Excellent time-management skills; ability to meet deadlines
- Ability to maintain a positive attitude in high-pressure situations
- Demonstrated success in building relationships and support between different divisions and agencies
- Excellent customer service skills
Experience:
- Three or more years of experience in marketing, communications or related field
- Three or more years of experience supporting event management with demonstrated success
- Experience using social media and other communication channels for event marketing and promotions
Major Responsibilities and Duties:
- Coordinate planning and execution of Choice Partner conferences, vendor exhibits, workshops and trainings and any other external events.
- Act as liaison between Choice and internal divisions for support in planning and execution of events that will be hosted in HCDE facilities (communications, marketing, facilities, technology).
- Provide event management for roadshows and out of state conferences, this includes furniture, carpet rental, prime booth scouting, sponsoring opportunities and logistics for booth material.
- Provide support for event logistics including identification of venue, negotiation with venue for services and ancillary needs.
- Work with Assistant Directors regarding financial obligations for the event, coordinating event needs with procurement and accounts payable.
- Coordinate with marketing and communications for event promotion, digital and print collateral and day of support.
- Keep track of over 50 conferences Choice exhibits/sponsors.
- Track cost of events, meals, travel and help determine success of attendance.
- Maintain good public relations with department personnel, clients and the public.
- Assist, when necessary, as an emergency-essential personnel.
- Perform other duties as assigned.
