Definition
This is a full-time, senior support position in the City’s Internal Services Department. An individual in this position provides administrative, technical, and clerical support to the department director, fleet supervisor, and facilities supervisor while ensuring compliance with established processes for a department's effective, efficient, and responsive service. Reporting relationship: Department Director.
Examples of Work
- Serve as the point of contact for all internal service requests for both the fleet division and facilities division;
- Possess knowledge of various automotive parts and basic building maintenance repair supplies;
- Perform 12-point inspection check on all vehicles after servicing is complete (before placed on the ready line);
- Perform state required inspection on vehicles to fulfill registration requirements;
- Ensure all vehicle registrations for all City fleet are valid and renewed prior to expiration;
- Maintain an accurate and current fleet inventory in the fleet management software;
- Maintain an accurate and current facilities inventory in the facilities management software;
- Coordinate regular preventative maintenance on all facilities related identified assets (i.e. generators, chillers, etc.);
- Assist with automotive preventative maintenance scheduling and ensure there is no backlog;
- Coordinate the purchasing of replacements parts and supplies, including picking up parts/supplies as needed and/or arranging for delivery of same;
- Enter all parts and supplies into the inventory management software;
- Inventory control: software auditing to ensure all parts/supplies are correct in the system; all established minimum levels of parts/supplies are maintained;
- Organize inventory storage, setup and implement barcode scanning interfaced with inventory management software;
- Coordinate supportive services for both divisions, ensuring all work orders are timely assigned;
- Update all work orders for service with current status; email internal customer updates as appropriate; ensure all work orders are being timely addressed;
- Analyze internal processes and recommend and implement procedural or policy changes to improve operations;
- Assist with budget maintenance pertaining to inventory needs;
- Perform other related duties as assigned;
- Subject to 24-hour recall.
