The Executive Assistant will be responsible for running the day-to-day operations for a group of senior executives and overseeing and managing a diverse slate of tasks and events. They will provide comprehensive support and assistance to the executives.

Partner with the best

As an Executive Assistant - Finance Function, you will be responsible for:

  • Providing overall office management and administrative duties, such as phone coverage, call screening, email, document preparation

  • Establishing and maintaining strong communication links with Group, Division, and Department level administrative personnel

  • Proactively coordinate the executives’ calendars, which include heavy meeting schedules and extensive travel; maintain passport and visa requirements

  • Directing business contacts to appropriate managers

  • Making complex travel arrangements and coordinating itineraries

  • Processing expenses for the executives

  • Creating, processing and managing POs and invoices in Ariba

  • Providing discrete and confidential coordination of sensitive company information

  • Using discretion in interfacing with all levels of individuals, internally and externally

  • Anticipating needs and accomplishing responsibilities without direction

  • Preparing, evaluating, and editing incoming and outgoing communications for the group of executives

  • Managing multiple projects and priorities and initiating follow-ups to ensure the timely achievement of commitments

  • Managing the contacts and email distribution lists

  • Establishing and maintaining positive relationships with internal and external clients

  • Managing team events – including offsite meetings and leadership team social events

To be successful in this role you will:

  • High School Diploma or equivalent

  • General business experience or administrative experience supporting top management

  • Be able to coordinate, plan, and organize customer and corporate meetings, seminars, trainings and events for Finance

  • POR´s - Responsible for preparing, coordinating with suppliers and following up until payment

  • Excellent oral and written communication skills

  • Effective interpersonal, leadership skills and inclusive team working style

  • Knowledge of / background in Oil & Gas related products, services and markets

  • Extensive IT skills (for instance, MS Office suite and Ariba)

  • Worked in complex regions and matrix organization
