Position Summary

The Executive/Personal Assistant to the COO builds genuine, trust-based relationships and brings strong interpersonal chemistry to the role. This individual consistently demonstrates a high level of discretion, the ability to manage complex calendars, and a commitment to ensuring seamless communication across multiple stakeholders. In addition, the role requires a proactive, detail-oriented person who can handle both business and personal responsibilities with confidence and care.

Duties and Responsibilities

  • Handle confidential and sensitive information with the highest level of professionalism and discretion
  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
  • Act as a gatekeeper by screening and prioritizing incoming communications and requests to ensure efficient use of time
  • Manage inquiries and correspondence from vendors, clients, and personal contacts with professionalism, providing clear, respectful, and empathetic responses
  • Coordinate communication with board members, internal leaders, and external stakeholders, ensuring timely followups and responses
  • Plan and manage logistics for meetings and events, including room setup, catering, agenda preparation, minutetaking, and tracking action items
  • Maintain and organize complex calendars to efficiently coordinate business, travel, and personal engagements
  • Attend meetings on behalf of or alongside executives, capturing detailed notes and ensuring key takeaways are documented
  • Compile, format, and prepare reports and presentations with strong attention to accuracy and detail
  • Arrange domestic and international travel, including flights, hotels, ground transportation, and related logistics
  • Oversee household responsibilities, including managing mail, bill payments, expense reports, party and event planning, scheduling vehicle maintenance, purchasing gifts, shopping, vacation planning, coordinating pet care, dry cleaning, and supporting other personal or lastminute tasks for the COO and their family
  • Manage and coordinate household staff as needed
  • Utilize tools such as Microsoft Office, Outlook Calendar, and DocuSign with a high level of proficiency

Qualifications and Skills

Required:

  • Builds authentic, trustbased connections
  • High degree of discretion and confidentiality
  • Professional demeanor and strong interpersonal skills
  • Minimum of 5 years’ experience in an executive assistant role or similar capacity
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong verbal and written communication abilities
  • Willing to be oncall as needed and outside of “working hours” periodically
  • Occasional travel to events and meetings as needed
  • Must have legal authorization to work in the U.S.
