JOB PURPOSE SUMMARY:
This position is responsible for supporting the Maintenance Department in the managing of records, coordinating compliance documentation, and facilitating department communications and related operational activities.
KEY FUNCTIONS, ESSENTIAL DUTIES, AND RESPONSIBILITIES:
Accounting Support:
1. Processes and maintains records of all formal bids and quotes, including preparing documents for boardpresentations.
2. Creates and updates critical employee information such as job descriptions, emergency contacts, andoperational calendars.
3. Manages correspondence for the administrative team and maintains regulatory compliance documents forfacilities equipment.
4. Organizes and oversees the maintenance of records for TCEQ, fire safety equipment and environmental healthsystems.
5. Manages the preparation and revision of the department employee handbook and other related documents.
6. Processes all legal documents including, without limitation, obtaining county permits and deeds in relation tothe relocation of District temporary buildings.
7. Assists in maintaining workers' compensation records.
8. Supports budget preparation efforts, as directed.
9. Manages inventory for tools, ladders, vehicles, and other equipment.
10. Maintains a current list of utility providers for each campus/facility.
11. Manages the District's key cabinet and the assignment of keys.
12. Coordinates the employee uniform program.
13. Support the payroll, maintenance dispatch and accounts payable functions, as assigned.
14. Handles department telephone lines and processes daily incoming mail.
Compliance:
15. Performs all assigned work activities in accordance with standard procedures and protocols established by thedepartment and District, and in accordance with applicable standards, procedures, protocols, practices, codes,and requirements as set forth by regulations and governing entities including, without limitation, TexasEducation Agency and Texas Association of School Boards.
16. Demonstrates and maintains relevant and up-to-date working knowledge and understanding of requirementsand standards relevant to the job function.
17. Monitors respective work activity for variances and anomalies.
18. Identifies and timely reports any known or suspected compliance issues to appropriate personnel.
19. Assists with audits and the preparation for audits, whether initiated internally or externally, as assigned.
20. Adheres to all other District wide policies and procedures including, but not limited to, human resources, safety,and emergency protocols.

22. Assists department leadership in the compilation of miscellaneous confidential reports.
23. Attends departmental and organizational meetings, as required.
24. Participates in continuing education programs and related activities to maintain proficient understanding andworking knowledge relevant to the job function.
25. Displays integrity, responsibility, accountability, teamwork, and ethics.
26. Performs assigned job duties and responsibilities in accordance with established performance expectations, aswell as with District policies, procedures, protocols and standard practices.
27. Demonstrates proficient working knowledge and understanding of Microsoft Excel, Word, Outlook, andPowerPoint, Google Shared applications to include Google Sheets, Google Docs, and Google Slides, as wellas other systems and applications relevant to the job function.
28. Performs other duties as assigned.
MINIMUM EDUCATION, EXPERIENCE & CREDENTIAL REQUIREMENTS
High school diploma or equivalent GED
Two years of experience working in a same or similar capacity; or
An equivalent combination of education and work experience

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:
This position requires frequent sitting for prolonged periods of time, reading, seeing, speaking, hearing, listening, organizing, interpreting data and information, operating office equipment, repetitive typing using a computer keyboard and mouse, viewing a computer screen monitor, and use of a telephone. The working environment consists of an indoor and climate-controlled setting the majority of the time.
