Description
Audubon is currently seeking a Marketing and Events Coordinator to join our team in our Houston, TX Office. The Marketing and Events Coordinator will support the execution of company-sponsored trade shows, client-facing events, and branded merchandise initiatives. This Houston-based, hybrid role is responsible for planning, administering, and executing all Marketing-managed events, including industry trade shows (3–4 annually) and corporate/client events, while also overseeing the operations of Audubon's online Company Store.
The Marketing & Events Coordinator is a collaborative team player with exceptional organizational skills, able to manage multiple concurrent deadlines, and possesses a strong customer-service mindset. This role works cross-functionally with business development, operations, internal stakeholders, vendors, and the broader marketing and communications team.
PRIMARY RESPONSIBILITIES:
Trade Show Planning & Coordination
- Lead planning and logistics for annual industry trade shows, including registration, booth setup, promotional items, shipping, and vendor coordination.
- Partner with BD and operations teams to manage pre-show planning, messaging, branding/graphics, on-site execution, and post-event follow-up.
- Ensure all events align with company branding and objectives.
Client Event Execution
- Coordinate and manage logistics for client-facing events such as dinners, receptions, golf tournaments, and other hosted gatherings.
- Oversee event budgeting, venue sourcing, catering, promotional items, RSVPs, and vendor management to ensure flawless execution.
Company Store & Merchandise Management
- Serve as the primary administrator for the online Company Store, managing product selection, inventory, internal requests, and reporting.
- Maintain vendor relationships, coordinate branded merchandise reorders, and support internal distribution efforts.
General Marketing Support
- Support broader marketing initiatives including internal and external campaigns, branding projects, and employee engagement programs.
- Track budgets, manage invoices, and maintain event and merchandise documentation.
- Ensure brand consistency across all marketing and event touchpoints.
Health, Safety, and Environmental Responsibilities:
- All employees are responsible for supporting Audubon Companies' Health, Safety, and Environmental (HSE) policies and procedures. This includes:
- Performing duties in a manner that protects personal and team health and safety
- Participating in required HSE training, meetings, and reporting activities
- Identifying and reporting hazards, near misses, and unsafe conditions
- Following safe work practices and complying with applicable regulatory requirements
EXPERIENCE AND SKILL REQUIREMENTS:
- Required: Bachelor's degree in Marketing, Communications, Business, or a related field.
- Required: 4+ years of experience in marketing, event planning, or related coordination roles.
- Excellent organizational and time management skills; comfortable juggling multiple timelines.
- Strong communication and interpersonal skills, with the ability to collaborate across teams.
- Detail-oriented with exceptional multi-tasking and problem-solving abilities.
- Experience managing budgets and tracking expenses.
- Self-motivated, dependable, and capable of working with minimal supervision.
- Calm under pressure and maintains a strong customer service mindset.
- Experience with B2B marketing and event coordination.
- Proficiency in Microsoft 365 (PowerPoint, Word, Excel, Teams, Planner).
- Familiarity with design tools such as Canva and Adobe Creative Suite.
- Experience working with marketing, design, and sales teams in a collaborative environment.
