Description
The Data and Registrar Clerk will perform a variety of advanced level clerical support tasks. This position involves specialized skills and highly confidential materials. The incumbent will execute established precedents and departmental policies. Incumbents at this clerical level may perform tasks and make more independent work-related decisions based on office and/or system-wide policies.
Position Description
Essential Duties and Responsibilities
- Maintain all new student data in Skyward (student information system). Responsible for the accuracy of student’s personal information such as address changes, phone number changes, legal name changes and all other demographic changes
- Retrieve and verify student data by running data mining reports and custom reports according to assigned schedules and checklist -provided by SIS department, or as requested to verify student information in Skyward is accurate
- Responsible for all aspects of Enrollment including working the queue, communicating with parents, coordinating with Nurse/Counselor/Administrator, uploading enrollment documentation and enrolling the student in Skyward
- Process all student withdrawals and maintain all lever documentation. Research and code all withdrawal and no show students for accountability
- Provide campus principal with data mining and custom reports used for grade verification and clean-up each grading period. Assist teachers and campus principal to ensure accuracy of the grade file. Generate and post grades for every progress report and report card
- Responsible for entering all high school course credit earned on the students’ Academic Achievement Record
- PEIMS Liaison-enter and verify PEIMS according to standard procedures and facilitate Data Integrity Affirmation process on campus each 6 weeks, Fall and Spring Print and distribute Edit+ Reports to staff members to validate data for their responsibility area
- Responsible for all permit codes needed when a student attends without being zoned to your campus, i.e. Employee Student Transfers, SPED, Homeless, etc.
- Responsible for coding all LEP Students and At-Risk Students
- Handle all returned mail processes weekly by parent contact, via phone, letter, etc., preparing mail to go back out to parent and getting proper documentation in order to process a change of address in Skyward
- Answer phone calls and inquiries from parents

- High School Diploma or GED
- Excellent computer skills (Microsoft Word and Excel)
- Proficient in all general office skills such as data entry and filing
- Must be highly organized and detail oriented
- Ability to communicate effectively, both orally and in writing
