Lead Special Programs Clerk


Role Mission: The role of the Lead Special Programs Clerk is to work collaboratively with stakeholders through student records and IEP paperwork review to meet ambitious compliance goals for regional and national success. The Lead Special Programs Clerk will work closely with Regional Special Programs Directors, Leads, Assessment Personnel, and Special Education teachers to ensure quality and compliant paperwork to maximize funding.


Location:

This is a full-time position based in Texas, with preference given to candidates who live in Austin, El Paso, Houston, Permian Basin (Midland/Odessa), Rio Grande Valley, San Antonio, and Tarrant County (Fort Worth), or who are willing to relocate.


Travel Expectations:

May travel 25% or less at the busiest times of the year to attend conferences or training courses.


What You’ll Do – Accountabilities


Essential Duties:

  • Utilize record management systems in Texas and other states as well as District student information systems
  • Ensure all Special Program students are identified and added to all applicable platforms
  • Notify Directors and Team Leaders of pending or missing information by utilizing tracker and touchpoints
  • Input all Individual Education Plan (IEP) information into all applicable management systems and District student information systems
  • Review reports and request student records from previous district utilizing applicable state records management systems, email, and phone calls
  • Review, generate, and maintain all applicable Special Program reports regularly to track all ARD meetings are held
  • Maintain and ensure accurate student records, correspondences, and reports are archived in electronic student eligibility folders
  • Upon written request, release student information and documentation to requesting district administrators
  • Conducts audits to ensure compliance with established procedures by examining records, reports and documentation
  • Order special program testing and therapy materials for District assessment teams for all states
  • Work collaboratively with all key stakeholders to ensure compliance with IEP documentation
  • Ensure supplies are received and completed in Tyler Munis system
  • Demonstrates positive interpersonal relationships with staff and parents and maintains confidentiality
  • Adheres to District policies and administrative procedures as well as states and federal laws, rules, and regulations
  • Partner with GoSolutions representative to submit data and monitor for compliance in Ohio

Required experience:

  • Education: Associate degree or some college preferred
  • Certification: n/a
  • Years of Experience: 3+ years
  • Required Technology: proficient with the Office 365 suite


Preferred experience:

  • Preferred Education: Bachelor’s degree
  • Preferred Experience: previous experience in a central office setting


Physical Requirements:

  • Sitting for extended periods of time
  • Lifting items weighing 15 lbs. or less
  • Sedentary office environment

Compensation & Benefits:

Salaries for people entering this role typically fall between $58,400 and $67,200, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment.
