    Primary Purpose:
    Responsible for the secretarial duties related to the campus assigned.
    We are seeking an organized, detail-oriented, and proactive candidate to support the daily operations and office support of the school’s Agricultural Science program. This individual will play a crucial role in managing office-related tasks, assisting with customer-facing operations, and supporting both the faculty and students engaged in the agriculture, veterinary science, small animal grooming, and floral design enterprises. The ideal candidate will have excellent communication skills, a strong understanding of office administration processes, and an interest in supporting the growth and development of an innovative agricultural program.

    Qualifications/Skills:
    Education/Certification:
    • High school diploma or equivalent; associate’s degree or certification in business administration, agriculture, or related field preferred.
    Special Knowledge/Skills:
    • Minimum Assessment Standard: Broad knowledge of MS Word and broad knowledge of MS Excel.
    • Strong organizational, multitasking, and time-management skills.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word Google equivalent) and other admin tools.
    • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
    • A genuine interest in supporting the growth of an agricultural program and its related enterprises.
    • Familiarity with student data management systems or CRM tools preferred.
    • Knowledge of agricultural sciences, animal care, or floral design is a plus preferred.
    • Detail-oriented and able to manage multiple tasks simultaneously.
    • Strong interpersonal skills, with the ability to work well with students, faculty, staff, and external stakeholders.
    • Ability to maintain confidentiality and handle sensitive information.
    • Self-motivated with a proactive approach to problem-solving and task management.
    • Ability to work in both a team environment and independently, with minimal supervision.
    Experience:
    • Minimum of 2 years of administrative or office support experience, preferably in an agricultural or educational setting.
    • Experience in agricultural operations or knowledge of basic farm management practices preferred.
    • Prior experience in customer service or public-facing roles preferred.

    Major Duties and
    Responsibilities:
    Office Support for Agricultural Center Operations:
    • Provide general office support to the Agriculture Science program and enterprise system, assisting with scheduling, communication, and record-keeping for all activities.
    • Manage an Ag Science Center calendar, ensuring the smooth scheduling of events, after-hours classes, work-based learning opportunities, and any community engagements.
    • Assist in completing office tasks for the school enterprises, including Veterinary Science, Small Animal Grooming and Floral Design, such as managing service appointments, invoicing, customer communications, and customer interactions.
    • Maintain accurate files and documentation for Ag Science/FFA activities, student work experiences, and farm-based business operations.
    • Monitor designated budgets and financial records.
    • Enter requisitions for supplies, materials, and equipment necessary for Ag Science/FFA program and enterprise operations.
    • Complete and submit student travel requests and approvals, major show entries, and other paperwork submissions for the program.
    • Complete transportation reservations for buses and campus vehicles.
    • Manage the Ag Science Center property deliveries and building visitor access.
    • Monitor timeliness and presence of buses for drop offs and pickups.
    Student and Staff Support:
    • Assist faculty with preparing course materials, equipment, and supplies for instructional labs and hands-on activities.
    • Serve as a point of contact for students, parents, and staff regarding program logistics, schedule updates, and student-related queries.
    • Coordinate the distribution and collection of student and teacher travel forms.
    Customer Service and Community Engagement:
    • Serve as the first point of contact for external customers, including individuals seeking services from the farm’s small animal grooming or floral design enterprises.
    • Answer phone calls, respond to emails, and provide accurate information regarding farm services, schedules, and opportunities.
    • Assist with organizing and managing community events, such as open houses, farm tours, and workshops, to promote the agriculture program and build community partnerships.
    • Assist in the creation of promotional materials, including flyers, brochures, and social media posts, to raise awareness of the agricultural program, its enterprises, and student success.
    Record-Keeping and Data Management:
    • Ensure proper documentation for all transactions related to the school’s farm-based enterprises, including payment processing and service logs.
    • Assist with preparing reports for stakeholders, such as school leadership, the CTE director, and industry partners, to track program progress and outcomes.
    Inventory and Supply Management:
    • Assist with the inventory management for farm equipment, supplies, and materials, ensuring the farm is fully stocked and operational.
    • Keep track of inventory levels for farm-related resources and assist with ordering supplies as needed.
    • Work with the Agriculture Science Enterprise Manager to maintain the maintenance schedule for farm equipment, ensuring all tools and machinery are well-maintained and operational.
    Other:
    • Participate in cross-training.
    • Perform other duties as assigned.

    • Moving small stacks of textbooks, boxes, equipment and other campus equipment.
