- Phone Management: Answer all incoming calls professionally, route calls appropriately, take detailed messages
- Client Scheduling: Manage attorney calendars, schedule consultations and appointments using firm software
- Client Intake: Conduct initial client information gathering (contact details, basic case information, urgency level)
- Office Management: Greet walk-in clients, maintain professional reception area, handle mail and deliveries
- Data Entry: Input client information into case management systems, maintain accurate contact databases
- Document Preparation: Prepare consultation packets, intake forms, and informational materials for potential clients
- Lead Qualification: Assess potential clients' needs and determine appropriate service matches
- Consultation Conversion: Effectively communicate firm capabilities and schedule initial consultations
- Follow-up Communications: Contact potential clients who inquired but haven't scheduled consultations
- Referral Management: Track referral sources, maintain relationships with referral partners
- Marketing Support: Assist with client testimonial collection, online review management, community outreach events
- Lead Tracking: Maintain detailed records of all inquiries, conversion rates, and lead sources
- Base Compensation: $14-15/hour for administrative and reception duties
- PTO available
- Commission Opportunities:
- $50 per scheduled paid initial consultation that shows up
- $150 per consultation that results in retained client (determined monthly)
- Monthly bonus of $200 for exceeding 20 qualified consultations scheduled
- Quarterly bonus potential for client retention and satisfaction metrics
- High school diploma or equivalent; some college preferred
- Excellent verbal and written communication skills
- Professional phone manner and customer service experience
- Basic computer skills including scheduling software, email, and database management
- Ability to multitask and prioritize in fast-paced environment
- Discretion and understanding of client confidentiality requirements
- Previous experience in professional services, sales, or legal office environment
- Familiarity with legal terminology and processes
- Experience with CRM or case management software, MyCase preferred
- Providing legal advice or opinions
- Discussing case strategies or legal outcomes
- Handling client funds or trust accounts
- Representing the firm in legal proceedings
- Making legal recommendations or referrals to specific legal strategies
- Full-time position: 40 hours per week
- Office-based role with potential for some remote administrative work
- Professional dress code required
- Occasional evening or weekend events for business development
- Training in legal software and procedures
- Professional development in sales and client relations
- Potential advancement to office manager or paralegal roles with additional education
- Performance-based compensation increases and expanded responsibilities
