General Summary:
The Administrative Assistant serves an essential function within Central Records, providing support to multiple divisions of the District Attorney’s Office. This role involves requesting, processing, and uploading audio and video discovery into the case management system for use in court proceedings.
Additional responsibilities include scanning and conducting quality checks on case files, assigning box numbers to physical media, and preparing materials for long-term storage. The Administrative Assistant also assists the Warehouse Specialist by locating, retrieving, and checking out files requested by various departments.
This position is well suited for someone who is detail-oriented and enjoys behind the scenes tasks that contributes to the legal process.
Duties & Responsibilities:
- Request DWI-related audio/video discovery from HPD, including body-worn cameras, dash cams, and station cameras.
- Review and process all pending and in-progress DWI audio/video discovery from body-worn, dash, and station cameras.
- Verify and complete all DWI discovery tasks in the e-Case system.
- Prepare case files for scanning, perform quality checks on each image, and finalize scans to ensure complete and accurate imaging of all documents.
- Receive felony audio/video media by cross-checking physical files with provided lists and entering data into two Central Records databases in preparation for warehouse storage.
- Develop a strong working knowledge of all Central Records and District Attorney’s Office databases.
- Gain proficiency in DA Office programs related to the handling and processing of discovery materials.
- Assist with special projects assigned by the District Attorney’s Office to support various departments.
- Provide physical and administrative support to the Canal Warehouse Specialist during absences or as needed.
- Safely lift and move 30 lb. banker boxes using a rolling ladder up to 10 feet high, and transport requested files from the Canal Warehouse to the Criminal Justice Center as required.
Knowledge, Skills & Abilities:
- Possess a working knowledge of Microsoft Office applications, including Word, Outlook, and Excel.
- Demonstrate familiarity with Capture Perfect and Adobe software.
- Have basic data entry skills.
- Capable of managing and completing multiple tasks simultaneously.
- Strong written and verbal communication skills, with the ability to convey instructions clearly when needed.
Position Type and Typical Hours of Work:
- This is a full time, in-person position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours may vary based on the business needs of the department. The employee must work their regular schedule in the office each day.
Required Education / Experience:
- High school diploma or equivalent required
- Some administrative and legal support experience preferred
Salary (Starting):
- $22.08 hourly / $3,827.20 monthly / $45,926.40 annually
- $27.18 hourly / $4,711.20 monthly / $56,534.40 annually with college degree
