Encore Dredging Partners is seeking an Administrative Assistant to support daily operations and help maintain an organized, efficient, and professional office environment. This role serves as a key point of contact for vendors, clients, employees, and website inquiries while providing essential administrative and HR support.

The ideal candidate is highly organized, detail oriented, and able to manage multiple priorities with discretion in a fast paced corporate setting.

Essential Functions (This is Not All-Inclusive)

  • Upholds the Company’s commitment to an injury-free workplace; leads and models safe work practices
  • Follows all safety rules and regulations as well as all company policies and procedures
  • Manages day-to-day administrative functions of the corporate office
  • Establishes work priorities, ensures deadlines are met, and ensures procedures are followed
  • Manages office supply inventory, anticipates needs, and places and expedites orders
  • Serves as the first point of contact for vendors, clients, and office staff
  • Acts as the central contact for all website inquiries
  • Handles incoming and outgoing communications, including phone calls and mail
  • Welcomes visitors and directs them to the appropriate personnel
  • Schedules and coordinates meetings, appointments, and travel arrangements
  • Plans and coordinates senior leadership meetings and off-site activities
  • Maintains office files and records, ensuring accuracy and proper organization
  • Ensures data integrity, confidentiality, and compliance with company policies
  • Supports HR, Safety, and Risk Management-related administrative tasks and initiatives
  • Works directly with the Vice President of Human Resources on projects and coordination
  • Monitors driver’s license compliance for DOT requirements
  • Maintains records related to vehicle usage, incidents, and accidents
  • Responds to related correspondence and documentation requests

Minimum Qualifications

  • At least 5 years of work experience in an administrative role; experience in the human resources or construction industry, or a related field preferred
  • Proficiency in MS: Outlook, Excel, Word, OneDrive - ability to create MS Excel spreadsheets and data reports
  • Multi-tasking abilities and the ability to work well under pressure
  • Self-starter and highly motivated
  • Flexibility to assist with projects with little to no notice
  • Excellent organizational and time management skills
  • Strong verbal and written communication
  • Knowledge and exercise of proper email etiquette
  • High attention to detail and problem-solving skills
  • Ability to multitask and prioritize effectively
  • Strong interpersonal skills with the ability to interact at all levels of the organization
  • Must be able to successfully pass all pre-employment screening (drug test, fit test) in addition to random drug and alcohol testing
