    Primary Purpose:
    Responsible for performing a variety of department-level secretarial, data entry, data analysis, implementation and specialized, highly technical duties for the CTE department.

    Qualifications/Skills:
    Education/Certification:
    • High School diploma or equivalent.
    Special Knowledge/Skills:
    • Minimum Assessment Standard: Broad knowledge of MS Word and broad knowledge of MS Excel.
    • Strong proficiency in word processing, spreadsheet, MUNIS, eduphoria, Skyward and other highly used programs is necessary.
    • Excellent organizational and problem-solving skills and conscientious work habits.
    • Ability to work positively with community, business, district staff and students.
    • Detail oriented, able to prioritize duties and multitask under pressure.
    • Strong ability to manage a database.
    • Financial bookkeeping knowledge.
    • Thorough knowledge of and ability to use secretarial practices and office procedures.
    • Thorough knowledge of and ability to use Business English including reading, composition, spelling, grammar, punctuation and letter format.
    Experience:
    • Three (3) years of progressively responsible secretarial experience, preferably in a school district or public sector employer is preferred.

    Major Duties and
    Responsibilities:
    Program and Clerical Support:
    • Serve as a positive liaison with students, department members, teachers, district staff, partners and businesses working with CTE
    • Organize and coordinate activities with academies, college and business partners.
    • Prepare, input and provide various reports and databases in designated software. (PIEMS, MUNIS, student info system, Excel, Word, etc.)
    • Compile needs assessments from CTE programs.
    • Generate CTE requisitions including those from needs assessments.
    • Track processing of purchase requisitions, purchase orders and deliveries.
    • Maintain updated list of all CTE courses, content and teachers.
    • Prepare, enter and monitor travel requests for CTE staff and instructors throughout the district using local and federal guidelines.
    • Monitor training plans & master lists from all work based learning instructors.
    • Assist in processing of compliance items for TEA and other agencies.
    • Assist in quarterly and annual CTE reports.
    • Assist with CTE scholarships, including application processing, judging and reception.
    • Input staff development data including creating meetings, attendance, awarding credit and assisting where needed.
    • Promote CTE by assisting instructors with recruitment on various HS campuses, tours and special events.
    Communication:
    • Serve as a key contact person and liaison between CTE Director and other district departments, staff and the community.
    • Monitor and respond to CTE email and maintain calendars.
    • Assist front office reception - greet visitors, assist students, answer phones and other duties.
    Records, Reports and Payroll:
    • Assist in maintaining accounting records using the district computer systems.
    • Input data and maintain records for payroll including general operating fund accounts.
    • Maintain federal and state files on instruction, funding and enrollment.
    Other:
    • Maintain confidential information inherent to job responsibilities.
    • Perform other duties as assigned.

    Responsibilities:
    None

    Equipment Used:
    Computers and devices including a large variety of software, along with multiple types of office equipment.

    • Maintain emotional control under stress.
    • Work with frequent interruptions.
    • Ability to handle workloads as they arise - often multiple, complex assignments at once.
    • This position requires regular in-person interaction with the public.
    Physical Demands:
    • Repetitive hand motions.
    • Prolonged use of the computer.
    • Frequent sitting, stooping, bending, pushing and pulling.
    • Moving small stacks of textbooks, boxes, and equipment.
