Qualifications:

Education

High school diploma or GED

Experience

  • Minimum of five years of experience as an administrative assistant
Financial software experience

Special Knowledge and Skills

  • Advanced proficiency in the use of software packages related to office operations
  • Familiarity with Cognos Report Writer
  • Excellent organizational, interpersonal, and communication skills
  • Excellent attention to detail
  • Ability to handle and prioritize multiple tasks
Ability to exercise initiative, decision making and maintain confidentiality

Center-wide Responsibilities

Assist other division Executive Assistants when needed with special projects

Chief Assistance

  • Assist the Chief in performing division-wide initiatives
  • Assist the Chief in completing special projects
  • Research, compile, and analyze data for the Chief
  • Manage the Chief’s calendar
  • Screen visitors, telephone calls, and mail directed to the Chief
  • Make travel arrangements and arrange meetings
  • Review and monitor the budget and keep the Chief informed
  • Maintains attendance of those that report to the Chief

Division Responsibilities and Support

  • Serve as the first point of contact for internal and external customers regarding questions and requests for the division.
  • Provide support and assistance to department secretaries in the division.
  • Assist in preparing budget amendments, transfers, and monthly and year-end reports.
  • Process requisitions, direct pays, invoices, purchase orders, and interdepartmental bills; verify all have been assigned to the correct budgets and ensure all necessary paperwork is included.
  • Assist in agenda preparation and contact meeting participants.
  • Independently respond to letters and general correspondence of a routine nature.
  • Prepare correspondence and reports as instructed.
Keep the office organized, maintain adequate supplies, and maintain current files in an electronic format, according to ISO procedures.

Physical Demands/Environmental Factors/ Mental Demands:

Frequent use of standard office equipment; prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting; repetitive hand motions (keyboarding and use of a mouse); occasional light lifting and carrying (less than 20 pounds); may work prolonged and irregular hours; work with frequent interruptions; maintain emotional control under pressure.
