FUNCTION – SCOPE STATEMENT:
MAJOR JOB TASKS AND RESPONSIBILITIES:
- Administrative Support: Support the administrative and logistical work of the Chief Executive Officer to include meeting management, agenda preparation and coordination of C-Suite weekly meetings.
- Calendar & Scheduling: Manage the CEO’s calendar, schedule meetings, coordinate travel, and anticipate conflicts.
- Communication & Correspondence: Draft, edit, and route communications to appropriate individuals.
- Document & File Management: Organize contracts, files, and digital records with confidentiality and precision.
- Meeting Logistics: Coordinate meetings for the Board of Directors, Executive Committee, and Governance Committee, including:
- Agenda creation and pre-read assembly from Vice Presidents
- Room setup, refreshments, and technical support
- RSVP tracking and leadership team notifications
- Minute-taking and follow-up communications
- Presentation Support: Assist in creating and formatting presentation decks for board meetings, executive committee meetings and special sessions. Coordinate weekly board emails.
- Logistical Support: Support Board Volunteer(s) who have leadership roles representing our organization at East Texas Area Council, Texas Summit, national/regional conferences and other board initiatives.
- Special Receptions: Coordinate targeted events to engage board members and inspire support for the mission…Club tours, quarterly receptions, Holiday Reception.
MINIMUM QUALIFICATIONS:
- Minimum 5 years of experience
- Proven experience supporting senior executives and board-level stakeholders
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite and virtual meeting platforms
- Ability to handle confidential information with discretion
- Professional demeanor and collaborative spirit
RELATIONSHIPS:
Internal: Maintain close, daily contact with all staff, and leadership team.
External: Maintain contact with, community, board members, donors, volunteers, vendors and the public.
