Universal Services is the enterprise IT solutions center for the departments and offices of Harris County, providing Information Technology, Public Safety and Justice Technologies, 311 Constituent Engagement Services, Fleet Services, and Records and Information Governance Services.

Position Overview:
This position is also responsible for coordinating with vendors, entering and maintaining accurate vehicle records, and ensuring that vehicles are properly equipped, tracked, and delivered on time.
In addition to lifecycle management, this role supports key service administrative tasks such as processing work orders, reviewing invoices, and coordinating documentation, helping ensure smooth daily operations in the Fleet Services Division.
Job Responsibilities:
- Request and track vehicle, equipment, camera, decal, and upfitting quotes based on department specifications.
- Communicate with vendors to ensure vehicle delivery and proper scheduling (graphics, tint, radios, decals, emergency equipment).
- Coordinate closely with Purchasing for asset tagging and ensure all documentation is completed accurately for new and used vehicles.
- Schedule and track vendor work to ensure deadlines are met and vehicles are configured to meet end-user needs.
- Coordinate the movement and staging of vehicles to maximize space during intake, vendor work, and department pickups.
- Input & maintain detailed & accurate data in the fleet management systems.
- Conduct quality control checks for new vehicles, upfitted vehicles, and seized vehicles being added to the fleet.
- Assist in preparing reports and visual dashboards showing current vehicle status in build process.
- Maintain current records of departmental fleet assets and assist with transfers and requests.
- Track and process vehicles selected for auction, including inactive/sold dates, reasons for removal, and final mileage.
- Review turn-in vehicles for final disposition.
- Coordinate with departments and auction contacts to finalize transfers and removals.
- Process and close work orders in the Fleet Management System, ensuring repair codes, parts, and labor are properly documented.
- Review invoices and ensure all necessary approvals and corrections are completed.
- Coordinate communication with service, parts, and fuel teams to resolve discrepancies and support billing and work order completion.
- Serve as the backup to the Asset Manager, ensuring continuity of operations in their absence.
- Provide exceptional customer service and maintain professional working relationships with vendors, departments, and fleet personnel.
- Assist with special projects, department requests, and ongoing coordination as directed by the Asset Manager or Fleet leadership.

Requirements
- High School Diploma or GED Equivalent Required
- 5 years of Customer Service Experience
- 3 years of Fleet Related Experience
- Strong verbal and written communication skills, with the ability to clearly explain technical systems and concepts
- Proficient in database management, report creation, and user administration
- Detail-oriented with strong organizational and analytical skills
- Comfortable acting as liaison between multiple internal departments and external agencies
- Experience with Microsoft Suite; Proficient in Microsoft Excel formulas and functions
- Must have valid Texas Driver’s License
