SUPPLY CHAIN ADMINISTRATOR
JOB DESCRIPTION

Position Summary

As a Supply Chain Admin, you will provide essential administrative and transactional support across procurement, warehousing, logistics, and accounts payable functions. Your primary focus will be maintaining accurate records, reconciling invoices, coordinating supplier communications, and supporting cross-functional supply chain activities. Strong organizational skills, attention to detail, and the ability to work collaboratively will ensure smooth operations, cost control, and effective support to the broader supply chain team.

Job Responsibilities include but are not limited to:

Invoice Reconciliation
  • Review purchase orders, proof of deliveries, and supplier invoices to confirm accuracy and alignment.
  • Partner with Accounts Payable to resolve discrepancies such as missing items, pricing errors, or duplicate charges.
  • Monitor open invoices and follow up with suppliers or internal stakeholders as needed.
Procurement Support
  • Maintain up-to-date supplier contact information and communication logs.
  • Support the procurement team with documentation and recordkeeping of supplier communications.
  • Assist in maintaining pricing libraries or catalogs for commonly purchased materials.
Operational Enablement
  • Provide cross-functional support by coordinating documentation, scheduling, and task follow-up between teams.
  • Monitor workflow bottlenecks and escalate issues to ensure timely resolution and minimal disruption.
  • Support day-to-day operational needs such as filing, data entry, and communication to maintain efficiency and accuracy.
Reporting
  • Generate standard supply chain reports (spend summaries, order status updates, open invoice reports, etc.).
  • Assist in data analysis to identify trends, exceptions, and opportunities for cost savings.
  • Prepare reporting materials for leadership and supplier reviews.
Process Improvement
  • Work with supply chain and AP teams to streamline workflows.
  • Identify opportunities to improve data accuracy, documentation practices, and communication processes.
  • Support implementation of new tools, SOPs, and systems designed to strengthen supply chain performance.

Work Experience:
  • Inventory or logistics workflow experience
  • Invoicing, accounts payable experience
  • Worked with supply chain and AP teams to streamline workflows
  • History of improving data accuracy, documentation practices, and communication procedures
  • Experience with SOPs, and systems designed, Implementation of new software preferred
Skills and Competencies:
  • Excellent computer, communication, and training skills
  • Detail-oriented with excellent organization skills
  • Proficient in working with Microsoft Office Products including Word and Excel
