Position Details
- Coordinates the scheduling of open meetings, policies, and oversees the preparation and maintenance of official records, including board minutes, agenda materials, policies, resolutions, and year-end reports, as needed.
- Drafts and finalizes correspondence, memos, and reports under the direction of the Executive Director.
- Assists with meeting execution, both in-person and virtually, including overseeing setup/cleanup, coordinating vendors, Board members, and attendees, troubleshooting logistical issues, and tracking motions and action items.
- Organizes and maintains digital and physical files related to Board actions, policies, and records.
- Ensures compliance with retention policies and data security best practices.
- Contributes to specific initiatives or projects at the request of the Executive Director.
- Manages the department’s funds to cover expenses related to the needs of Board members and staff in carrying out job responsibilities, including travel, accounts payable/receivable, procurement, external funding agency guidelines, and general accounting-related issues within the department.
- Provides tier 1 evening and weekend staffing for events attended by Board members to support effectiveness.

- Three (3) to five (5) years of related experience.
- Three (3) to five (5) years of administrative or project coordination experience.
- Business writing and writing techniques preferred.
- Proficiency in office productivity and project management tools preferred.
- Limited standing and/or walking.
- Handling light weight objects.
- Using or carrying equipment.
- Stoop, bend, or lift.
