Description

At KMEC Engineering and Conveying, we design and manufacture a wide range of bulk material handling equipment, such as conveyors for overland or floating applications and ship and barge loaders and unloaders. We also design and build radial stackers and TeleStackers. Additionally, we manufacture standard conveyors such as belt conveyors, drag conveyors, screw conveyors, and bucket elevators. We are currently looking for an entry-level Engineering Document Controller.

Position Summary

We are seeking a detail-oriented and organized Document Controller to manage and maintain project documentation in accordance with company standards and client requirements. The Document Controller will be responsible for receiving, reviewing, tracking, distributing, and archiving technical documents, drawings, and records throughout all phases of a project. This role ensures proper document control practices are followed to support efficient project execution and regulatory compliance.

JOB RESPONSIBILITIES:

  • Lead the implementation, development, and maintenance of document control systems across all projects and programs.
  • Establish and manage document numbering systems, structured filing protocols, and controlled review and approval workflows.
  • Collect, electronically log, track, and distribute engineering documents while maintaining accurate and up-to-date records of drawings, transmittals, and correspondence.
  • Maintain document registers and route interdisciplinary checks, supplier/contractor submittals, and technical documentation for internal and external review.
  • Create and manage document distribution matrices; ensure timely receipt, logging, and distribution of vendor and subcontractor documentation in accordance with matrix requirements.
  • Upload and retrieve project documentation from client and contractor document management systems, ensuring version control and compliance with project protocols.
  • Oversee and maintain both central master files and field office documentation, ensuring consistent document organization and accessibility.
  • Collaborate with project teams, clients, and other stakeholders to facilitate clear communication and efficient document workflow in a multidisciplinary environment.
  • Ensure that all issued documentation adheres to project-specific document control standards and contractual requirements.
  • Demonstrate strong core competencies including communication, customer service, teamwork, initiative, accountability, adaptability, and problem-solving.
  • Coordinate and communicate effectively across various engineering, project management and company disciplines.
  • Evaluate and improve existing document control procedures to enhance efficiency, accuracy, and compliance.

EDUCATION/EXPERIENCE:

  • Preferred bachelor’s degree
  • Understanding computer-related programs (ERP systems, file sharing systems)
  • Minimum 2–5 years of experience in document control, preferably in engineering, construction, or industrial environments.
  • Proficiency in document management systems like, SharePoint, or similar platforms.
  • Strong understanding of document control procedures, revision control, and file management best practices.

MINIMUM QUALIFICATIONS

  • Microsoft Office Suite.
  • Ability to work independently.
  • Proven ability to work in a team environment and be a self-starter.
  • Written and verbal communication skills.
  • Must be able to process information and follow the guidelines.
  • Ability to learn and use document management systems or electronic document control platforms.
  • Demonstrates understanding and support of company initiatives and direction.
