Description:

Manages the day-to-day operations of a small or medium-sized university program or department. May supervise staff employees, student workers, programs or processes.

1. Plans and develops procedures for administering a small or medium-sized department or program.
2. Oversees program expenditures and ensures adherence to budget.
3. Provides guidance to subordinate staff and evaluates performance.
4. May prepare or participate in the creation of abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
5. Reviews reports of budgets and activities.
6. Prepares ad hoc reports as needed.
7. May administer grants and grant-related related communications, scholarships and other operations.
8. Develops, implements and maintains appropriate policies and procedures.
9. May serve as property custodian for the department.
10. Performs other job-related duties as assigned.

Main job responsibilities:
1. Collaborate with district partners and stakeholders - setting up payments and processing MOUs
2. Provide specialized support for the administration and coordination of the Alternative Certification Program (ACP), including oversight of candidate admissions, advising, documentation, and program completion.
3. Oversee the development and processing of MOUs
4. Manage invoices and payment structures
5. Organize and maintain payment plans of various cohorts
6. Support UH ACP in purchasing required supplies for daily administrative tasks, meetings and events
7. Support UH ACP HR by assisting with processing hiring documents for site coordinators and professional development contracts
8. Review UHACP admission applications

Additional duties may include:
9. Assist with the process of organizing resumes, promoting job fairs, communication, and logistics in planning.
10. Work closely with the UHACP team to ensure compliance with the Texas Administrative Code and TEA policies related to certification eligibility, documentation, and timelines.
11. Monitor candidate progress through program benchmarks, including testing (e.g., TExES exams), field experiences, coursework, and completion of certification requirements.
12. Coordinate field experience placements
13. Respond to student inquiries with professionalism and accuracy through multiple channels (email, phone, in-person).
14. Communicate program guidelines and their alignment to teacher certification to prospective students
15. Utilize various electronic systems (Canvas, Slate, Microsoft Office, etc.)
16. Plan and execute UHACP events
17. Promote UHACP, district job fairs, and other opportunities for professional development
18. Support the success of UHACP candidates throughout the admission, certification, and hiring processes.

Preferred qualifications:
Higher Education experience
Knowledge of SharePoint and PeopleSoft
Experience with processing high volume of vouchers/invoices/payments
Experience with managing Excel databases
Experience processing Contracts
Excellent verbal and written communication skills
Must have strong attention to detail and be able to work under tight deadlines
Ability to manage high volume of transactions and communications
Ability to interact with all levels of internal and external constituents
Must be a multi-tasker, extremely organized, and have the ability to work in a fast-paced, high- pressure environment, with strong interpersonal and problem-solving skills

Experience will be considered in lieu of education.
Education will be considered in lieu of experience.

MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: No experience required.
