Description

The Administrative Assistant is responsible for the day-to-day administrative tasks of the Casa Residential Neighborhood in the areas of staff scheduling, administrative support, and management of supplies and resources.

CLASSIFICATION: Full-Time/Non-Exempt (Hourly)

EDUCATION: High School Diploma or GED required

EXPERIENCE: Previous experience in staff scheduling preferred

REMOTE ELIGIBILITY: This role is not eligible for remote work.

MINIMUM QUALIFICATIONS:

  • Completed Application and References
  • Cleared Background Check
  • Clear PreEmployment Drug Screen
  • Clear driving record
  • Valid Texas Driver’s License held for at Least two years
  • TB Screening

KNOWLEDGE, SKILLS, & ABILITIES

  • Excellent organizational and time management skills
  • Knowledge of scheduling software or the ability to learn
  • Excellent interpersonal skills with the ability to communicate effectively both in oral and written form
  • Ability to work with a high degree of independence; multitask and respond to changing priorities
  • Proficient with Microsoft Office Suite specifically Word, Excel, PowerPoint, and Outlook

REPORTS TO: Associate Director of Neighborhood Programs

ROLES AND RESPONSIBILITIES:

1. Staff Scheduling

  • Prepare caregiver schedules to ensure coverage
  • Revise schedules based on absences

2. Administrative Support

  • Provide administrative support in areas such as managing email correspondence, creating, distributing, and revising written materials
  • Manage calendars including scheduling of recurring meetings, WIC, and cleaning services
  • Receive and distribute mail and packages
  • Distribute keys
  • Receive receipts, create expense reports, and check for completeness before seeking Director approval
  • Set up channels of communication such as Teams channels
  • Check AED and fire extinguishers

3. Supply and Resource Management

  • Place orders for weekly grocery orders;, pick up, and distribute the orders
  • Assist with the inventorying, storage, and distribution of purchased and donated items; ensure that necessary items are kept stocked
  • Assist with the setup homes and living spaces to ensure they are ready for use

4. Other

  • Other duties as assigned

The position entails exerting up to 10 lbs. of force frequently to lift, carry, push, pull, or otherwise move objects including the human body. The position entails occasionally lifting/moving up to 40 pounds. The position involves sitting, walking, standing, and/or climbing stairs for periods of time. The employee must complete documentation on paper and electronically.
