JOB TITLE: Secretary
Transportation Department
REPORTS TO: Director of Transportation
WAGE/HOUR STATUS: Nonexempt
PAY GRADE: Para 6
PRIMARY PURPOSE:
The Transportation Secretary will report directly to the Director of Transportation and will provide support and clerical assistance to all Transportation administrators and staff.

QUALIFICATIONS:
Required:
- High school graduate or GED from an accredited institution
Preferred:
- At three years of job related experience
- Fluent in Spanish and English, spoken and written
- Experience or familiarity with Department of Transportation rules and regulations
SPECIAL KNOWLEDGE/SKILLS:
- Advanced organizational skills
- Able to proficiently and accurately type at least 60 wpm
- Proficient in time management, planning, and prioritizing
- Effective interpersonal skills
- Proficient file maintenance and office inventory maintenance
- Advanced skills in Excel and Word programs
- Able to effectively manage multiple task at once
- Excellent oral and written communication skills: grammar, spelling and punctuation
MAJOR RESPONSIBILITIES AND DUTIES:
- Prepare documents (correspondence, forms, reports, etc.) as requested.
- Maintain physical and computerized departmental and personnel files.
- Promptly and courteously answer incoming calls, take reliable messages, and route to the appropriate staff members as deemed appropriate.
- Maintain records for drug testing for employees and coordinate with the Department of Transportation (DOT) to schedule random drug testing and physicals for all district commercial drivers.
- Notify Human Resources of work-related injuries after the supervisor and employee has completed the injury forms and Notice of Absences for extended leaves.
- Schedule meetings and maintain paperwork for the Accident Review Board (ARB).
- Coordinate onboarding of all Transportation Department employees with Human Resources, Transportation administrators and managers.
- Coordinate building access for employees through Facilities Management.
- Schedule and verify attendance for employee’s annual online professional development courses.
- Serve as departmental liaison with Human Resources regarding service awards, Letters of Reasonable Assurance, Even Pay Election Forms, etc.
- Assist Payroll Clerk to verify employee attendance on a monthly basis.
- Serve as the primary point of contact for scheduling rooms.
- Maintain confidentiality regarding sensitive student and staff information.
- Participate in staff development and any other meetings as assigned.
- Perform all other duties as assigned.
WORKING CONDITIONS:
The usual and customary methods of performing the job’s functions required the following physical demands: physical mobility, prolonged sitting, repetitive hand and arm motions, some lifting, carrying, pushing, and/or pulling. This position will also require traveling within the district. Mental demands: Maintain emotional control, ability to effectively communicate in both oral and written English for safety reasons. Environmental Conditions: Work outside and inside; moderate exposure to extreme temperature (hot and cold) and vehicle fumes.
