We are looking to add a Geo Services Transportation Coordinator to the team in Houston. Reporting to the Procurement Manager, the Transportation Coordinator will review, optimize, and manage import and export cargo movements for UTEC Geo-services business units. This role will be tasked with ensuring efficient timely import and export shipping by acting as the main point of contact for project operations, workshop, and destination, ensuring adherence to HSE requirements where relevant.
Duties
Ensuring that the vision, values and goals of Geo-services logistics are implemented in a consistent manner
Efficient processing of all logistical activities: on time and to a high standard with assured adherence to local and international legislation
Ensuring Trade Compliance laws are met consistently, and work closely with the Acteon legal and ICare team to discuss regulations relevant to supply chain
Provide expertise in logistics management, customs handling and cost-effective shipping solutions to the business to assist with project planning
Contribute to the continuous adaptation and development of the procedures and processes within the area of logistics
Planning, tracking and monitoring shipments to ensure timely and efficient transportation of goods, and communicating information to relevant parties
Handle all shipping documentation ensuring compliance with import/export regulations to reduce the risk of delays at borders.
Ensure the documents are accurate and comply with international trade laws
Ensure the documentation is retained and stored appropriately in anticipation of an audit and be prepared to answer Internal, State or Federal Tax audit queries based on the documents
Assist with synchronization of documentation and data retention in line with global Geo Services standards
Prepare and manage documentation such as bills of lading, invoices, transport manifests and customs paperwork
Communicate with internal and external clients, shipping agents, and freight carriers
Resolve any freight delivery issues such as delays or mishandlings
Coordinate with warehouse staff to ensure proper storage and handling of goods
Ensure compliance with shipping regulations and handle any customs-related issues
Manage hazardous cargo requirements
Ensure compliance to Acteon Trade Compliance standards and operate within the defined scope
Provide excellent customer service by addressing internal and external client inquiries and concerns
Develop strategies to improve service levels and operational efficiency in coordination with Business Line objectives
Required
At least 3 years of professional experience in the field of international logistics as part of a supply chain function
Ability to work independently and to use initiative to prioritize one's own activities
Fluent written and spoken English
Familiarity with logistics software and Microsoft systems
Understanding of Import and Export laws, regulations, and tax implications
Hazardous cargo training, desired
Basic written and spoken Portuguese, desired
Knowledge of Filemaker, desired
Knowledge of Business Central, desired
Ability to manage multiple tasks concurrently and prioritize effectively
Ability to resolve issues quickly and efficiently
Meticulous in handling documentation and tracking shipments
Proficiency in logistics software and IT systems, mostly Microsoft Office Suite, Outlook, Word, Excel etc
Ability to organize and maintain a digital data library
Strong organizational, coordination, and communication skills
