Reports To: Department Director

Job Goal:

Support the implementation and daily operations of the Civics Training Program (CTP) by providing technical assistance, documentation management, communications support, logistical coordination, and budget-tracking duties for participating Local Education Agencies (LEAs). The Regional Specialist serves as an operational leader by independently managing assigned workstreams, maintaining accurate documentation, proactively identifying needs, and ensures timely and compliant execution of CTP activities.

Qualifications:

Education

Bachelor’s degree

Preferred Qualifications

  • Project Management Professional (PMP) certification
  • Coursework in education management/leadership
Knowledge of the Texas Education Agency Strategic Priorities and Initiatives

Experience

  • Experience supporting projects, grants, or program operations
  • Experience providing customer service, technical assistance, or communications support to LEAs or similar stakeholders
  • Experience managing data, documents, or tracking systems
Experience working in or with educational entities (preferred)

Major Responsibilities :

  • Assist the Regional Coordinator with implementation of CTP activities, including communication, outreach, scheduling, and session logistics.
  • Assist in drafting and formatting communications, newsletters, and informational resources.
  • Lead routine operational processes and independently manage assigned components of CTP implementation.
  • Take ownership of maintaining accurate tracking systems for attendance, documentation, and grant-required records.
  • Support collection of program documentation, session attendance, evaluation forms, and compliance evidence.
  • Provide direct technical assistance to LEAs regarding registration, CTP session expectations, and required grant documentation.
  • Maintain organized digital files and ensure documentation meets TEA and grant requirements with high accuracy.
  • Prepare draft reports, summaries, and documentation to support TEA-required reporting.
  • Identify opportunities to improve templates, processes, and workflows; share recommendations with the Program Coordinator.
  • Lead daily budget-tracking processes by maintaining accurate expenditure logs and supporting documentation.
  • Collect, organize, and verify receipts, invoices, and trainer travel documentation for accuracy and compliance.
  • Enter and maintain financial data in internal systems with a high degree of independence and accountability.
  • Monitor budget categories and proactively alert the Program Coordinator to discrepancies, issues, or emerging needs.
  • Assist in preparing financial documentation for reimbursements, audits, and TEA reporting.
  • Communicate financial documentation requirements to LEAs and trainers, as appropriate.
  • Assist with data summaries and identify patterns or areas needing attention for program improvement.
  • Respond to LEA inquiries and escalate complex issues to the Program Coordinator and/or Director as appropriate.
  • Support LEAs in navigating professional development requirements tied to the Civics Training Program.
  • Coordinate with host sites to ensure training materials, resources, and logistics are delivered and prepared.
  • Provide timely information as requested by the program coordinator and/or director.
  • Assist with maintaining training resources, updating materials, and preparing facilitator tools.
  • Support scheduling of CTP trainers and session calendars.
  • Assist in coordination of trainer travel arrangements and required documentation.
  • Help maintain the project website, communication lists, and informational materials.
  • Assist with program evaluation activities, including collecting and organizing feedback data.

Frequent use of standard office equipment; prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting; repetitive hand motions (keyboarding and use of mouse); occasional light lifting and carrying (less than 20 pounds); may work prolonged and irregular hours; occasional statewide travel; work with frequent interruptions; maintain emotional control under pressure.
