Job Summary
Provides high-level administrative support to the CEO and specific members of the C-Suite. As an Executive Admin Assistant, you will play a critical role in ensuring the smooth functioning of the office and have the ability to work independently on projects, from conception to completion, handling confidential information with the utmost discretion. Must reside in the Houston, TX area.
Responsibilities
- Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
- Provide a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Assist with the development, communication, implementation, and execution of executive strategy.
- Provide event management support as requested.
- Work closely with the CEO to keep well informed of upcoming commitments and responsibilities, following up appropriately.
- Execute plans, meetings, and standards to increase quality and efficiency.
- Create accurate reports reflecting on financials, incidents, employee organization, and compliance.
- Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.
- Maintain executive’s appointments and schedules by planning, scheduling meetings, conferences, teleconferences, and travel
- Effectively interface with all administrative departments, including Accounting, Logistics, IT, Safety and HR
- Maintain office supplies and inventory, forecasting needs, ordering supplies and comparing cost, verifying receipts of supplies
- Ensure office equipment is working properly, complete preventive maintenance, troubleshooting malfunctions, and calling for repairs
- Partner with Building Management team for office maintenance requests, building access and parking permits.
- Maintain professionalism and strict confidentiality with all materials.
- Other duties as assigned
Qualifications
- 5+ years previous experience in administration role or similar position
- Must have Computer Skills (MS Office- Word, Excel)
- Must be able to work as a team in a collaborative manner
- Must be analytical and have a high level of attention to detail
- Excellent problem-solving and communication skills
- Must have excellent organizational and time-management skills
- Must be flexible to a changing work environment, available to work overtime, holidays, and weekends
Physical Requirement:
- Able to sit for a long period of time, stand and walk on concrete and uneven surfaces
- Able to push, pull, lift, carry maximum weight 50lbs, repetitive wrist and hand movements
